Janitorial Bidding Software for Commercial Cleaners

Turn your walkthrough into labor hours and Good, Better and Best prices your client can sign on any device.

Janitorial bidding software turns a building walkthrough into a priced cleaning bid. Outscoped is janitorial bidding software built for commercial cleaning companies. You enter each area of the building, and it works out the labor hours, prices Good, Better and Best options, and sends a proposal your client can sign on any device.

What janitorial bidding software does for a cleaning company

Every cleaning business has to answer the same question before it can win a contract: what will this building cost to clean? Janitorial software built for bidding answers it from the work itself, not from a guess.

With Outscoped, owners and managers can:

It runs in the web browser on iPhone, Android, tablets and computers, with nothing to download. It is cloud-based, so the bid you start on site is the same one you finish at your desk.

Why bidding from labor hours beats guessing a price per square foot

A flat price per square foot treats every room the same. But a restroom and an open office do not clean at the same speed. Outscoped's default rate for restrooms is 800 square feet per hour. For open office space it is 4,000 square feet per hour. A gymnasium is 8,000, and a warehouse open floor is 15,000.

If you price all of that at one number, you will underbid some buildings and lose others on cost. When you bid cleaning jobs from labor hours, the price follows the real work in each area. That protects your profit and gives you a number you can explain to the client.

How Outscoped turns your walkthrough into a bid

  1. Walk the building. Pick a template and add each area with its square feet and how often it gets cleaned.
  2. Get labor hours. Outscoped divides the square feet by the production rate for that area to find the hours.
  3. Price the options. It builds Good, Better and Best prices from your cost inputs and target margin.
  4. Send and sign. Email a secure link or download a PDF. The client picks a package and signs.

There are 9 built-in building templates: office, medical office, warehouse and industrial, schools and churches, retail, gyms and fitness, restaurants, floor care, and Airbnb and short-term rentals. Each template comes with area types and cleaning tasks, so you are not starting from a blank page. You can also see how a finished cleaning proposal looks in our cleaning proposal software guide.

Industry Standard Production Rates and your own cost inputs

Every bid starts from Industry Standard Production Rates. Here are some of the defaults, in square feet per hour:

AreaSquare feet per hour
Open office4,000
Private offices3,200
Restrooms800
Medical exam rooms1,400
Classrooms2,800
Gymnasium8,000
Retail sales floor4,500
Warehouse open floor15,000
Strip and wax500

Then your own numbers set the cost. The defaults are a wage of 18.50 dollars an hour, payroll burden of 25 percent, supplies of 5 percent, overhead of 10 percent and a target margin of 20 percent. Every account can change its wage, burden, supplies, overhead and margin on every plan. On the Solo and Growth plans you can also edit the default production rates to match how your crews actually work.

Good, Better, Best pricing that lets the client choose

When a client gets one price, the only question left is whether you can do it for less. When they get three, the question becomes which package fits their building and budget.

Outscoped prices up to 3 price options for every proposal. The client compares the packages side by side, ticks any optional add-ons, and picks the one they want. You spend less time on price talks and more time on the work.

Sending the proposal and getting it signed on any device

Send the proposal by email as a secure link, or download a PDF. Your client opens it on any device with no login and no app. They review the scope, choose a package and sign with an e-signature that records their consent.

Worked example: the Lakeview Office Park bid

Lakeview Office Park is the sample building used on our site. It has 17,900 square feet, cleaned 5 visits a week. The open office alone is 8,600 square feet. At 4,000 square feet per hour, that area takes about 2.15 labor hours each visit.

Add up every area across a month and the building comes to 114.6 labor hours. Using the default cost inputs, Outscoped prices three monthly options:

PackageMonthly price
Good3,295 dollars
Better3,625 dollars
Best3,885 dollars

Change the wage, burden or margin and all three prices move with it. You can run the same building in the bid calculator.
